OneOffice utilises automated bar coding to assist in the management of day-to-day warehousing functions.

The automatic generation of barcode identifiers has been developed as a core process in the OneOffice warehouse management module. Processes which benefit include: goods receipts, stock movement, bulk or pick face putaway and picking of items to satisfy sales orders.

Automated bar coding can lead to efficiencies on many of the time consuming processes which are traditionally manual and paper based.

How Does OneOffice Do It?
The OneOffice warehouse module enables the automatic generation of bar codes for applicable products. Alternatively manual bar code maintenance allows the user to enter bar codes against products.

OneOffice is able to generate barcodes from a given range of numbers and will issue a warning when a pre-defined checkpoint is reached.

Product maintenance has been enhanced to accommodate the new bar coding functionality and a product created by copying details from a template product will be recognised and a new bar code will be assigned to the new product.

OneOffice will also check to ensure that every product that requires a bar code has one and that the codes are unique. Concerns over duplication of barcodes or products missing their bar codes are therefore avoided.

OneOffice bar code processes
Any OneOffice process which requires a product code to be entered can be enhanced through the use of bar codes and scanning technologies.

Sales Order Processing
Processes such as sales order entry can use bar codes rather than having to type in the product codes, This is particularly beneficial in trade counter and retail environments, where the use of bar code scanners can achieve increased improvements in efficiency.

Goods Receipt Bar Code Label Printing
OneOffice Goods receipt processing can create bar code labels at the point of receipt. As each order line is received a label can be created which includes the specific bar code and may be attached to the item at this stage.

Goods Receipt and Bar Code Putaway
Not only will OneOffice produce the bar code label at goods receipt it can also generate automatic stock movement requisitions at this stage. These are dynamically created to move the product from the goods receipt location to a pick location. This process can be completely controlled by the use of bar codes as the items are processed through the warehouse from one location to another. In fact this process has been enhanced to be used with radio frequency terminals, which dynamically manages the goods receipt and putaway process without the need for paper records.

Bar Codes At Pick
Traditionally once a sales order has been entered a picking list would be printed at the warehouse. The picker would walk around the warehouse picking the required items from the sales order, usually ticking off the items as he finds them.

With bar codes and OneOffice the complete picking process has been enhanced and completely integrated with bar code and radio frequency technology.

OneOffice can manage a paperless pick process. Once a sales order has been entered it can be directly transferred to the OneOffice "Pick Queue" This allows the Warehouse Controller to view all sales orders in the warehouse regardless of their status. e.g. waiting to be picked, being picked or now ready for despatch. The Warehouse Controller can also filter his sales orders by a flexible series of criteria and drill down to the actual sales order lines.

Once the Warehouse controller has identified the sales orders to be sent for picking these can be directed to an individual warehouse operative. It will appear on the RF terminal and OneOffice will drive the picker through the most convenient route through the warehouse to satisfy the sales order. The picker will scan the bar code and the location and any additional serial or batch details if necessary. Only the quantity of items selected need be entered manually.

Bar Codes and Stock Replenishment
The process for replenishing stock from one location to another, which includes stock movements within a warehouse, has also been enhanced with bar code functionality. From initial requisition through issuing of the items to receipt of goods at the new location, the complete process can be managed through the use of bar codes, RF terminals and OneOffice warehouse functionality. OneOffice can also recommend movements based on the size of items and the size of the locations the items are to be moved to.
